Conference Guides for [IEEE-CIS, INNS] conferences : Although this guide was initially set up for IJCNN2019, and was used for IEEE WCCI 2020, hopefully some of the basic information may still help [organising committee members, authors] up to 2023-2025 (assuming a half-life of links and process information of 3-5 years?). Conference Registration

REMINDER : The EARLY REGISTRATION deadline is 01Apr2019!!

Conference registration is one of :
Several pre-requisites are required BEFORE your final paper can be accepted! Check the menu items above for details :

Acceptance by the [Program, Technical] Chairs of your final paper, that includes required changes arising from the review (if any).
IEEE PDF eXpress Plus - your paper must pass the paper format tests when finally submitted.
IEEE electronic Copyright form (eCf) - SIGNED (by your oganisation) and accepted (by the IEEE)
CrossCheck text-similarity - Authors DEFINITELY SHOULD pre-test their papers before initial submission! This is a BIG cause for rejection of great papers, and it is almost entirely avoidable!.
[WCCI,IEEE-CEC, IJCNN, IEEE-FUZZ] conference registration - At least one of the co-authors must be registered to attend the conference and present the paper (oral or poster).

Every paper must have at least one author registered for the conference, and attend the conference to present the work.
No-shows (both oral and poster) will result in the paper being dropped from the IEEE Xplore proceedings!
Full registration covers two papers.
Additional papers: $250 each.
Student registration - Given the need to control costs for attendees, if ALL co-authors are students, then the registration of at least one student will cover the paper. Normally, at least one non-student is co-author, and in that case the paper counts against their 2 paper per registration limit.
For student registration, upload proof of full-time student status (undergraduate or graduate) to the registration form. Valid forms of proof are one of the following.
- In all cases, student status must be valid as of May 2019.
- Department chair/head's letter on official letterhead confirming your fulltime student status.
- Student ID that has time stamp of registered semester/quarter.
- Official certificate of enrolment issued by the university.
- Receipt of tuition payment for the semester/quarter.
- In all cases, the full name must appear in English, and the name should be the same as the author info in the paper.
- NOTE: postdocs and part-time students must pay full registration.
Please carefully read the instructions below before proceeding to the registration form.

Maximum number of pages per paper:

Papers must not exceed 8 pages in length for normal registation fees.
In the past, up to two additional pages (to 10 pages total) could be submitted for a fee per additional page, but that has not yet been specified for IJCNN2019. Contact Regina Legoo, INNS Meetings & Program Manager, Association Resources, Washington DC, USA.

Important: If paying by bank/wire transfer, please send a copy of your bank confirmation to the INNS Central Office at inns@inns.org so that we can apply your payment to the correct account.

Cancellation policy:

Any registration cancellations must be made in writing directly to inns@inns.org.
If received on or before May 14, 2019, INNS will apply a $50 administrative fee and refund the remainder of your registration fee, after the meeting.
No refunds will be given for cancellations received after May 14, 2019. Walk-ins and replacements are always welcome.

To repeat : IJCNN is concerned with the absences of authors who were supposed to present their papers. This has a negative impact on the conference sessions and quality. Non-appearance of one of the co-authors to present the paper at the conference will result in the paper being removed from the list of papers submitted to the IEEE Xplore online paper system, which is set up after the conference.

REMINDERS : This Authors' Guide is specific to the IEEE conference paper system, and for the most part links to, or repeats, information that is COPYRIGHTED by the IEEE. Keep in mind that the IEEE processes something like 1,800 conferences per year, and delays exceeding a week are to be expected, with longer delays during high-activity parts of the year. So don't wait too long before starting each process!
Author preparations for the conference include (roughly in squence) :

Initial submission of your paper to the IEEE paper review system.
Receipt of an email paper acceptance notification from the Program Co-Chairs via the IEEE paper review system.
Payment of the conference registration fee. At least one of the co-authors must be registered for the conference to present the paper.
IEEE approval of a signed IEEE electronic Copyright form (eCf) (online submission)
Submission and approval of a properly revised final paper.
Travel visa approval, for citizens of countries required to do that by Hungary.
